Let me show you the difference between using AI and owning AI.
Most business owners who try ChatGPT do this: They Google "ChatGPT prompt for customer service." They copy something generic. They paste it every single time they need a reply. They tweak it. They forget what they typed last time. They start over.
That's not AI working for you. That's you working for AI.
Here's what I built instead — and it took me 20 minutes.
What is a Custom GPT?
Think of it like hiring a new team member — except this one never forgets your product catalogue, always knows your pricing, replies in your brand's tone every single time, and works 24/7 without asking for a raise.
A Custom GPT is your own private AI assistant, trained on your business information. You build it once. Then anyone on your team — or you — can use it forever.
No prompt-copying. No explaining your business every time. Just ask, and it already knows.
Step by step: build your own in 20 minutes
You need ChatGPT Plus for this (₹1,600/month — yes, it's worth it).
Step 1 — Open the GPT Builder
Go to chat.openai.com → click your profile → click "My GPTs" → click "Create a GPT"
You'll see a builder screen. On the left: a chat where you describe your GPT. On the right: a live preview.
Step 2 — Tell it who it is
In the builder chat, type something like this:
You are a customer service assistant for [Business Name]. We sell [what you sell]. We are based in [city]. Our tone is warm, friendly, and professional — like talking to a knowledgeable friend, not a call centre. Always reply in under 100 words unless the customer asks for more detail. Never make up information you don't have — instead, say "Let me check on that for you."
Step 3 — Feed it your business brain
This is where the magic happens. Click "Configure" → scroll to "Knowledge" → upload these documents:
- →FAQ.pdf — Your 20 most common customer questions + answers
- →Products.pdf — Full product list with descriptions, sizes, prices
- →Policies.pdf — Delivery timelines, return policy, payment methods
- →Tone guide.txt — 5 example replies you've written that sound like you
Don't have these as documents? Just open a Google Doc, type them out, download as PDF. Takes 30 minutes. Do it once, use it forever.
Step 4 — Test it like a customer
In the preview panel, ask it real questions your customers ask:
- →"Do you deliver to Hyderabad?"
- →"What's your return policy?"
- →"Is the blue kurta available in XL?"
- →"Can I get a bulk discount for 10 pieces?"
See how it responds. If something's wrong — a price is off, the tone doesn't feel right — go back and update your documents.
Step 5 — Share it with your team
Once it's ready, click "Save". You can keep it private (just you) or share a link with your team. Your customer service staff, your business partner, anyone — they open the link and instantly have a trained AI assistant that knows your entire business.
Real example: Meet "Rangoli Assistant"
I built a demo Custom GPT for a fictional boutique — Rangoli Boutique — and asked it 3 real customer questions. Here's what it looked like inside ChatGPT:

Absolutely! We love wedding orders 🎉 For 10+ pieces, we offer a 12% discount. For 25+, it goes up to 18%. Tell me which styles you're interested in and I'll put together a custom quote right away!
Three different questions. Three perfect replies. Zero prompt-copying.
The honest bit
It's not flawless. If a customer asks something that isn't in your documents, it'll either say "let me check" or — if you haven't instructed it properly — make something up. That's why the instruction "never make up information" matters.
Also: ChatGPT Plus is ₹1,600/month. If you're handling 20+ customer queries a day, that cost pays for itself in the first week. If you're handling fewer — wait until you're ready.

Even if you don't build the full Custom GPT today, do this one thing:
Open a Google Doc. Write down the 10 most common questions your customers ask — and your answers. That document is the foundation of your business's AI brain. Takes 20 minutes. You'll use it forever.
