Every small business owner I talk to says the same thing:
"I'm drowning in WhatsApp messages."
Enquiries at 11 PM. The same question, "what's the price?", 30 times a week. Customers who don't get a reply within an hour and quietly buy from your competitor instead.
Here's the brutal truth: You're not losing sales because your product is bad. You're losing them because you're slow.
But there's a fix, and it doesn't require hiring anyone.
The problem with WhatsApp for business
WhatsApp has become the default communication layer for small businesses worldwide. Over 2 billion people use it, and your customers are already there. They already trust it. They already expect to talk to you on it.
The problem isn't WhatsApp. The problem is that you're running it like a person: manually, reactively, one message at a time.
When a customer messages you asking "do you do weekend delivery?" they're not going to wait four hours. They'll find someone who replies faster.
What most people do wrong
Most business owners who try to "automate" WhatsApp do one of two things:
- →They set a generic Away Message, "Hi! We'll get back to you soon," which says nothing and helps no one.
- →They install a chatbot that sounds robotic, "Please select option 1 for pricing," and customers drop off immediately.
The real opportunity is in between: replies that feel human, answer the actual question, and move the customer toward a purchase.
That's where Claude comes in.
What Claude can do for your WhatsApp
Claude isn't a bot you plug directly into WhatsApp. Think of it differently:
Claude is your reply-writing engine.
You tell Claude everything about your business: products, prices, delivery, policies, your tone. Then you ask it to write your WhatsApp reply templates. Not robotic scripts. Warm, conversion-focused replies that sound like you, but better, faster, and consistent every time.
You save these as Quick Replies inside WhatsApp Business. One tap sends a perfect reply in seconds.
Here's exactly how to do it, using a real example.
Real example: A home bakery called Sugar & Thread
Let me walk you through this for a bakery business, one of the most WhatsApp-dependent small businesses out there.
Maya runs Sugar & Thread, a custom cake and dessert business. She gets 30–50 WhatsApp messages every weekend. Same questions every time: pricing, order lead time, flavour options, delivery radius.
Here's what I asked Claude to help her with:

Writing WhatsApp templates for Sugar & Thread
Customer
I run a custom cake business called Sugar & Thread. We deliver within 15 km, take orders 3 days in advance, prices start at $45 for a 6-inch cake. Write me 3 WhatsApp quick reply templates for: pricing, delivery, and lead time questions.
Claude
Here are 3 ready-to-save WhatsApp Quick Replies for Sugar & Thread: **💰 Pricing** Hi! Our custom cakes start at $45 for a 6-inch (serves 8–10). Price varies by design complexity and flavour. Want me to send you our full flavour menu? 🎂 **🚚 Delivery** We deliver within a 15 km radius, just drop me your postcode and I'll confirm if you're covered! Delivery is $8, or free for orders above $120. 😊 **📅 Lead Time** We require at least 3 days' notice for all custom orders, and 5+ days for tiered or sculpted cakes. DM me your event date and I'll check availability right now!
Customer
These are great! Can you also write a WhatsApp Away Message for when I'm offline evenings?
Claude
Of course! Here's your Away Message: Hey there! 👋 Thanks for reaching out to Sugar & Thread. I'm currently offline but reply to all messages by 9 AM the next morning. For a quick look at our cakes and pricing, check the link in my bio. Can't wait to create something sweet for you! 🎂
Five minutes with Claude. Eight polished, ready-to-send reply templates. Maya saved them as Quick Replies in WhatsApp Business, and now handles 80% of her weekend messages with a single tap.
Step-by-step: Set this up in 30 minutes
Step 1: Write your business brief
Open Claude (claude.ai, free). Paste something like this:
You are a WhatsApp customer service assistant for [Business Name]. We sell [what you sell]. We're based in [city/location] and deliver to [areas/radius]. Our prices are [pricing]. Key policies: [lead time, minimum order, payment methods, refund policy]. Our tone is warm, friendly, and to the point, like a knowledgeable friend, not a call centre. Write 8 WhatsApp Quick Reply templates for the most common customer questions. Each reply should be under 80 words, use 1–2 emojis max, and end with a soft next step.
Fill in your details. Hit enter. Done.
Step 2: Review and personalise
Claude will give you 8 to 10 templates. Read each one. Edit anything that doesn't sound like you. Add your actual prices, your exact delivery window, your real return policy. The templates are a strong starting point, and your edits make them yours.
Step 3: Add Quick Replies in WhatsApp Business
Open WhatsApp Business → Settings → Business Tools → Quick Replies → tap + → paste each template → set a shortcut keyword (e.g., /price, /delivery, /order).
Now when a customer asks about pricing, type /price in the reply box and the full template auto-fills. One tap and it's sent.
Step 4: Set your Away Message properly
Settings → Business Tools → Away Message → turn it ON → edit.
Instead of "We'll get back to you soon," try:
Hey there! 👋 Thanks for reaching out to [Business Name]. We reply during business hours (9 AM – 7 PM). In the meantime, check out our catalogue here: [link]. We'll be with you shortly!
Ask Claude to write this for you too, just describe your hours and what you sell.
Step 5: Set a Greeting Message
Settings → Business Tools → Greeting Message → edit.
This fires automatically when someone messages you for the first time:
Welcome to [Business Name]! 🙌 Tell me what you're looking for (pricing, availability, or a custom order) and I'll help you straight away.
The upgrade: full automation with WATI
Quick Replies still require you to be online and tapping. If you want replies going out automatically, 24/7, hands-free, look at WATI (wati.io). It's a WhatsApp Business API platform built for small teams, starting around $30/month.
With WATI, you can build automated reply flows without any code, send order confirmations automatically, broadcast to your opt-in customer list, and send payment links directly inside the chat.
If you're handling 50+ WhatsApp conversations daily, this level of automation pays for itself almost immediately.
The honest bit
This doesn't replace you being present in your business. It handles repetitive, low-complexity queries (pricing, availability, delivery, FAQs) so you can save your energy for the conversations that actually need you.
Claude writes templates. It doesn't type replies for you in real-time. If a customer has a complex complaint or a very specific custom request, you handle that personally. The goal is to clear out 70% of the routine traffic so the remaining 30% gets your full attention.
Your action step this week
Write down the 5 questions your customers ask you most on WhatsApp. Go to claude.ai, paste them with a short description of your business, and ask Claude to write replies for each one.
Save the best three as Quick Replies. Done.
You'll use them every single day.
What kind of business do you run? Hit reply and tell me. I'll feature real reader setups in upcoming issues.
